Notes: from chaos to control in seconds

The challenge of turning conversations into documentation

A simple solution for a complex problem. Notes is an experiment — a tool created to understand the behavior of engineers. In the tech industry, we call this scenario a minimum viable product (MVP). That’s what Notes is: a tool we used to test some of our team’s theories about the daily routine of civil engineers. To better understand this assumption, we need to recall what life on a construction site is like: pure chaos. Especially when professionals have no system for organizing information. In these cases, they often end up turning their personal WhatsApp into the main source of project information. Personal and professional messages get mixed up and are easily lost. There’s no way to trace information or find topics quickly. On top of that, this workflow often mixes with physical records — spreadsheets and handwritten notes. With a multidisciplinary team, alignment and traceability become nearly impossible.

From the problem to the first hypothesis

Centralizing information is one of Construct IN’s core principles, and this feature reinforces that by preventing important data from being lost in scattered records outside the platform. Beyond improving the user experience, this solution also strengthens the platform for future evolutions, making it possible to integrate these records with other features such as task entries, checklists, and even AI-powered automated analysis. This accelerates decision-making and enhances Construct IN’s ability to provide valuable insights for construction management.

Born pratical

The solution was to create a simplified new feature for notes, accessible through the platform’s sidebar. This allows users to quickly capture information without disrupting the structure of traditional records. The feature offers a list of notes, with filters, search, creation, editing, and deletion, ensuring an intuitive and agile experience. At this first stage, all users can create and view notes, but they can only edit or delete their own entries. The goal of the MVP is to validate adoption and identify future improvements, such as attachments, text formatting, or note categorization. To encourage usage, a quick-access button was added to several parts of the platform — including the 360 Viewer, Task Entries, and CDRs — allowing users to create notes without leaving their workflow. All notes are automatically saved in the feature’s general list, ensuring traceability and accessibility. This approach improves usability and enables continuous learning about user needs, guiding future iterations of the functionality.

Impact in the first 30 days

To measure the success of Notes, we defined the following metric for the first 30 days after launch: at least 20 distinct users should create at least one note using the feature. The tool was launched in early June 2025.
